Privacy Policy

ineedcoaching.org is operated by Creative Energy LLC, a Texas limited liability company. We take your privacy seriously. This policy explains what information we collect, why we collect it, who we share it with, and the choices you have. If anything here is unclear, write to us at hello@ineedcoaching.org and we will walk you through it.
Information we collect
We collect only the information needed to run the platform and deliver coaching services. That includes:
- Account information. Your name, email address, and the role you signed up for (client or coach).
- Profile information. For coaches, this includes biography, specialties, photo, and scheduling availability. For clients, this includes any preferences you provide during onboarding.
- Payment information. Payments are handled by Stripe. We do not store your full card number. We do store a Stripe customer reference, basic billing metadata, and records of completed transactions.
- Session and journaling content. Notes you write inside check-ins, journals, or session reflections are stored so you and your coach can use them. You can delete this content at any time.
- Zoom integration data. If you connect your Zoom account, we store your Zoom user ID, the email associated with your Zoom account, and encrypted OAuth tokens that let us create meetings on your behalf. We do not access your other Zoom meetings, recordings, contacts, or billing information.
- Communications. Messages you send through the platform, support emails, and feedback submissions.
- Technical information. Standard server logs (IP address, browser type, pages visited) and lightweight analytics from Vercel.
How we use your information
- To deliver the service: creating your account, matching clients with coaches, scheduling sessions, and processing payments.
- To run AI-assisted coaching features, including post-session reflections and pattern summaries. These features run on data you or your coach explicitly submit. They do not scan unrelated content.
- To communicate with you about your account, bookings, and service updates.
- To improve the product, troubleshoot bugs, and prevent abuse.
- To meet legal, tax, and accounting obligations.
Google Workspace APIs and AI/ML data use
ineedcoaching does not use Google Workspace APIs data to develop, improve, or train generalized AI or machine learning models. Google Calendar data accessed through these APIs is used solely to provide scheduling and synchronization features within the platform and is not used for any AI or machine learning model training.
ineedcoaching.org's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
We request access to your Google Calendar only to read and create scheduling events on your behalf. We do not transfer this data to others except as necessary to provide or improve these scheduling features, to comply with applicable law, or as part of a merger or acquisition with notice to you. We do not use Google Calendar data for advertising. We do not allow humans to read this data unless we have your affirmative consent for specific items, it is necessary for security or to comply with applicable law, or the data is aggregated and anonymized.
Who we share information with
We do not sell your personal information. We share only with the service providers we need to run the platform, and only the data each provider needs to do its job.
- Stripe. Processes all payments and payouts. Stripe receives the billing details required to charge a card or pay a coach through Stripe Connect.
- Resend. Sends transactional emails such as booking confirmations and password resets. Resend receives your email address and the contents of the message we are sending.
- Zoom. If you have connected Zoom, we send meeting metadata (topic, start time, duration) so a Zoom meeting can be created on your account. We do not send session content to Zoom.
- Anthropic. Powers AI features such as Coach Clarity reflections. Anthropic receives only the specific content you submit to those features and processes it under their no-training, no-retention enterprise terms.
- Supabase. Hosts our database and authentication. Your account record and stored content live in Supabase, encrypted at rest.
- Vercel. Hosts the website and serverless functions, and provides basic analytics. No third-party advertising trackers are loaded.
- Legal requirements. We may disclose information when required by law, a valid subpoena, or to protect the rights and safety of users.
Cookies and tracking
We use a small number of cookies and similar storage features to keep you signed in and to remember your preferences. We use Vercel's first-party analytics for aggregate usage metrics. We do not run third-party advertising trackers, marketing pixels, or cross-site profiling cookies.
Your rights
You have the right to:
- Access the personal information we hold about you.
- Correct information that is inaccurate or out of date.
- Export a copy of your data in a portable format.
- Delete your account and the data associated with it.
- Withdraw consent for any optional integrations, such as Zoom, at any time.
To exercise any of these rights, email hello@ineedcoaching.org. We respond within one business day.
Data retention
We keep your information for as long as your account is active. If you delete your account, we delete or anonymize your personal data within 30 days, except where we are required by law to keep specific records (for example, payment receipts for tax purposes). Encrypted backups may persist for up to 60 days before they are rotated out.
Children
ineedcoaching is intended for adults. You must be at least 18 years old to create an account. We do not knowingly collect information from anyone under 18. If you believe a minor has created an account, contact us and we will remove it.
Security
We use industry-standard practices to protect your information: TLS in transit, encryption at rest, scoped access controls, and least-privilege service credentials. No system is perfectly secure, but we take this seriously, and we notify affected users promptly if we ever learn of a breach.
International users
Our servers are located in the United States. By using ineedcoaching, you consent to your information being processed in the United States. If you are accessing the service from outside the United States, please know that the protections available to you may differ from those in your home country.
Changes to this policy
We may update this policy from time to time. When we make material changes, we will update the "Last updated" date at the top of this page and, where appropriate, notify you by email. Continued use of the service after a change means you accept the revised policy.
